Global Brigades is a non-profit organization that mobilizes over 6,000 student volunteers annually to provide sustainable health and economic development solutions in under-resourced communities. With over 300 university chapters worldwide, we offer a unique short-term program where students work alongside community members on projects related to public health, medical care, clean water systems, engineering, microfinance, and business development. This immersive experience allows volunteers to gain valuable skills, broaden their perspectives, and make a tangible impact on the lives of others.

Partnering with communities in Central America and West Africa, Global Brigades empowers volunteers to collaborate on initiatives that improve quality of life and promote sustainable development. Over the past 20 years, our programs have impacted over 1 million beneficiaries and mobilized 100,000 student volunteers, demonstrating the collective power of dedicated individuals.

Purpose Statement:

The Operations Associate manages financial transactions, including donations, transfers, refunds, chargebacks, matching donations, and financial reporting. This role also supports the Program Associate team with administrative tasks related to chapter support, such as form submissions and vendor approvals.

Success in this position requires meticulous attention to detail, a solid understanding of financial systems, and excellent organizational skills to ensure accurate and timely processing of transactions.

The Associate reports to the VP of Finance and the Program Associate Manager.

Key Responsibilities:

  • Transfer Processing
    • Manage and execute fund transfers in compliance with organizational policies.
    • Process transfers via dashboards, ensuring accurate data entry for fields such as destination, donor name, transaction ID, and comments.
  • Funds Management
    • Record and post funds received directly into bank accounts with proper allocation to volunteers.
    • Maintain and update dashboards and documents for matching donations and received funds.
  • Donation Matching
    • Confirm and process matching donation requests, validating donor details and updating tracking documents.
    • Collaborate with companies and volunteers to ensure compliance with matching donation requirements.
  • Cheque Management
    • Log received cheques into dashboards, detailing check numbers, amounts, and recipients.
    • Accurately categorize matching donations and fees in relevant documents.
  • Refunds and Chargebacks
    • Process refunds in line with established policies, ensuring proper documentation and compliance.
    • Handle chargebacks by collecting and submitting evidence to dispute claims.
  • Financial Reporting and Documentation
    • Create and manage invoices and estimates using QuickBooks.
    • Maintain accurate financial records for tracking historical data, missing funds, and related updates.
  • General Operations
    • Withdraw funds from platforms such as Better Giving and PayPal monthly.
    • Address financial inquiries and ensure efficient use of tax IDs for in-kind donations.
    • Review and submit vendor forms for chapters’ fundraising events per Global Brigades’ policies.

 

Qualifications:

  • Strong proficiency in financial software and tools, including QuickBooks and financial dashboards.
  • Experience in managing financial records and reports with high accuracy.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills to liaise with internal and external stakeholders.
  • Familiarity with policies related to donations, refunds, and matching contributions is a plus.

 

Required Skills and Abilities:

  • Ability to present and disseminate information in a clear and concise way.
  • Strong English language skills, both written and oral.
  • Ability to follow and implement Global Brigades guidelines and policies.
  • Strong fluency in Google Suite (Gmail, Google Docs, Google Sheets, Google Meets, Google Slides).
